certificate issuing system etc.) from Kumamoto University portal website,
please utilize this website for your convenience.

1) Order from SOSEKI (Certificate Issuing System)  Click here

You can order student registration certificate, academic transcript,
provisional certificate, student discount ticket for JR and medical examination certificate from the certificate issuing system on KU portal website. You will need your student ID card and the receipt number for print out.The automated certificate issuing machine located at the academic affairs section of Faculty/ Graduate school.

If you would like to order other than the above certificates, you can order at the academic affairs section of GSST.
It will take approximately 3-4 days.

2.Email address

We send all information (including important notes etc.) to the student’s ID e-mail address ,please ensure to set-up and check your e-mail.

3.Students Registration

Please follow the procedure after submitting the below documents on matter of following student registration.

(1)Application for Leave of Absence Form 1 , Petition for Withdrawal from University Form 2

If you require to take a leave of absence from school over three month or to withdrawal from school for illness or a compelling reason, you must consult with the guarantor and supervisor then need to submit the prescribed forms with signature (seal) to the academic affairs section of GSST by one month prior to the desired date. In case of illness applies, medical certificate issued by a doctor must be attached.
We make no refund of the tuition fees which has already been paid.Please note that we will not accept these forms, until a person in arrears has made a payment of tuition fee. Take particular care of the beginning of semester as in April or in October.

(2)Request for Permission to Resume Studies Form 3

If you wish to request for permission to resume studies from leave of absence, you must consult with the guarantor and supervisor beforehand then need to submit the prescribed form with signature and seal to the academic affairs section of GSST by one month prior to the desired date. In case of recovery from illness, medical certificate issued by a doctor must be attached.

4.Forms (in the case where any of the following reasons occurred, please submit
the forms to the academic affairs section of GSST)

  1. When your guarantor has changed Form 6
  2. When you changed your address Form 7
  3. When you go abroad Form 8
  4. When you go on off-campus research activities Form 9
  5. When you go on off-campus activities Form 10
